How to Write and Send an Invoice: 6 Lines and 3 Copy-and-Paste Examples

A service invoice needs six lines

A service invoice needs six lines: your business, your customer, an invoice number and date, what you did, the amount, and how and when to pay. Write them in a notebook, a text, or a Word file, and send the invoice the day you finish the job.

Keep a copy of each invoice for at least 3 years after you file the tax return that counts the money. If you file before the due date, count from the due date. That is generally how long the IRS can ask for more tax (IRS Topic 305, page reviewed October 13, 2026).

LineWhat to write
Your businessName, mailing address, phone, and email
Your customerName and the address where you did the work
Number and dateOne number you never reuse, and the date you send it
What you didThe service, the date, and the place. Be specific, not "services rendered"
The amountA price for each service, tax on its own line if you charge it, and a total
How and when to payA due date, the ways you take payment, and where checks go

For your tax records, you do not need a special form. The IRS says, "Except in a few cases, the law does not require any special kind of records," and that you may choose "any recordkeeping system suited to your business that clearly shows your income and expenses" (IRS recordkeeping page, reviewed May 1, 2026). A handwritten invoice with the six lines works as your record.

Stripe's invoice requirements guide lists the same pieces: business and customer details, number, date, itemized lines, tax, total, and payment terms. Its invoice details guide warns that vague descriptions such as "services rendered" could confuse clients.

Copy-and-paste invoice templates for cleaning, lawn care, and junk removal

Copy a block, replace the brackets, then change the invoice number, dates, and prices. They are examples, not prices to charge. For what to charge, see our pricing guides for house cleaning, lawn mowing, junk removal, and pressure washing.

A pressure washing invoice uses the same lines, one for each job with its own price.

Number every invoice and show three dates

Give every invoice its own number and count up: 1001, 1002, 1003, or INV-001, INV-002. Stripe says "Each invoice should have a unique number to make tracking easier" and "A common practice is to use sequential numbers" (Stripe). Never reuse a number. If you make a mistake, write VOID on that invoice, keep it, and send a new one with the next number. Then a gap in your numbers means an invoice went missing.

Put three dates on it:

  • Service date. The day you did the work. For a monthly bill, the dates it covers.
  • Invoice date. The day you send it. Stripe calls it the "date of issue" (Stripe).
  • Due date. The day you expect to be paid. Stripe suggests a "Payment Due By" line followed by the date (Stripe).

A missing date is a common error. The invoice date "lets clients know when the window for payment starts," and the due date lets them know "exactly when they need to pay" (Stripe).

Invoice payment terms for homeowners and for businesses

Homeowners get a short due date. Businesses often ask for Net 30. Housecall Pro puts it this way: "Commercial work often uses Net 30 (payment due 30 days after invoicing)," while "residential jobs typically use shorter timelines like Net 7 or Net 15," or payment upfront or in stages.

TermsWho gets it
Due on receiptHomeowners, with a date written next to it
Net 7 or Net 15Homeowners you bill after the visit
Net 30Businesses that ask for it
DepositBig jobs, with the rest due when you finish
  • Due on receipt. Pay as soon as the invoice arrives. Stripe calls it the "pay me now" choice (Stripe).
  • Net 30. Payment "within 30 days of the invoice date," in Stripe's words.
  • Net 7 and Net 15. The same rule with 7 or 15 days.

Write the date, not only the term. FreshBooks warns that "more specific terms are better," because otherwise customers "might just assume 30 days (or more) is fine."

For a big job, ask for a deposit before you start, then invoice the balance when you finish. FreshBooks says that for large projects, "you may want to consider payment terms that include a deposit or partial payment" (FreshBooks, page updated December 2019).

If you list Zelle, ask your bank first. Zelle says your bank or credit union must offer Zelle for your business account type, and that it does not report payments to the IRS, so reporting the taxable ones is on you (Zelle).

Net 30 means waiting a month, and any late fee is agreed before the job

Net 30 means you wait a month for money you already earned. For example, take a weekly office clean at $180 on Net 30, invoiced after each visit. If you clean on day 0 and the first payment arrives on day 30, you have done five weekly cleans and been paid for one. That is $900 of work, with $720 of it still unpaid.

Stripe notes that "the lag between making a sale and receiving payment can stress a company's resources" (Stripe). If a business wants Net 30, ask for Net 15 first, or bill the month ahead.

Agree on any late fee before the job. Housecall Pro says late fees "are generally allowed as long as you clearly include them in your terms upfront and follow your state's rules," and that if you don't already have a late fee policy, you should "avoid adding fees retroactively to existing invoices" (Housecall Pro). FreshBooks says the maximum monthly interest rate on past-due invoices "varies by state" (FreshBooks). If your customer agreed, check your state's limit, then add one line with your rate:

Late balances carry a fee of [rate] per month, as agreed on [date].

Rules differ by state, and this is not legal advice. When the due date passes, how to ask a customer to pay has the messages to send.

Sales tax on services depends on your state

Whether you add sales tax depends on your state and the service. The SBA says "you'll need to check with state and local governments to know your business' tax obligations" (SBA).

Texas is one example. The state Comptroller's list of taxable services includes "garbage and other waste collection or removal," "janitorial and custodial services," and "landscaping and lawn maintenance" (Texas Comptroller, revised January 2026). Its lawn care page says lawn care is nontaxable when done by a self-employed individual who works alone and has "gross receipts from the services of $5,000 or less during the most recent four calendar quarters." It also says "Your invoices or contracts should clearly identify the services you perform" (Texas Comptroller, revised March 2022). Your state may differ.

Start with your state's revenue department. The SBA page has a table of state revenue departments, and USAGov says, "Find your state's tax agency web page for information about state taxes," with a link to the Federation of Tax Administrators member list. Ask the department:

  • Is my service taxable here, and does it matter whether the customer is a homeowner or a business?
  • Do I need a permit or registration before I charge tax?
  • Does my city or county add its own tax?
  • How should the tax show on my invoice?

If your state taxes the work, show the tax on its own line. If not, leave it off. A business customer may also ask you for a Form W-9. The IRS says to use it to "provide your correct Taxpayer Identification Number (TIN)" to the person who must report what they paid you (IRS, reviewed June 27, 2026). This is general information, not tax advice.

How to send an invoice by email, text, or on paper

Send the invoice when the job is done. FreshBooks says, "In a service-oriented business, the invoice is generated after that service has been provided," and that the best practice is to "follow up with the client first, to ensure the customer is satisfied" (FreshBooks). So check in with the customer before you leave. Then send the invoice that day, the way your customer already talks to you:

  • Email. Paste the invoice into the email. A PDF is optional. Put the facts in the subject: Invoice 1042 from [business name], $175.00, due October 29.
  • Text. If a phone number is all you have, paste the invoice into a text. Keep the due date and how to pay in the same message.
  • Paper. Hand over or leave a copy, and write Paid on yours when the money comes.

A notes app and these templates are enough to start.

ChatGPT can write the words. On October 22, 2026, we asked it for a plain-text invoice for a one-time house cleaning job, without giving it prices or a due date. It left the amounts as blanks and wrote the due line as "Upon receipt of invoice" instead of a date. In our longer ChatGPT test, where we typed the prices, the total was right in all three runs, but one run printed two due dates.

Asked whether it can email the invoice and collect the money, it said sending depends on an email connection you set up, and that you need "a payment processor or invoicing service, such as Stripe, PayPal, or QuickBooks Payments, to accept the payment." We asked through DataForSEO's ChatGPT scraper with no ChatGPT account of our own, so an account with connected apps may answer differently. Check the dates and totals yourself.

Record cash and checks, and keep each invoice at least 3 years after you file your return

A customer who pays in cash or by check still gets an invoice. Do this the day the money arrives:

  • Write Paid, the date, the amount, and how (cash, Zelle, or the check number) on your copy, and give the customer a copy as a receipt.
  • Put the money in your business account and keep the deposit slip. The IRS lists "Bank deposit slips" and "Invoices" among the documents that show gross receipts, the money your business takes in (IRS Publication 583, December 2024).

How long to keep them: the IRS says to keep records as long as they may matter, generally until the time limit for that return ends. For tax you owe, that limit is generally "3 years from the date you filed the return." A return filed before the due date is generally treated as filed on the due date (IRS Topic 305).

For example, if you report income when the money arrives, an invoice paid in 2026 goes on your 2026 personal tax return (IRS Publication 583). That return is generally due April 15, 2027 (IRS Topic 301), so keep it until at least April 15, 2030. Some cases run longer:

  • 6 years if income you left off the return is more than 25% of the gross income shown on it.
  • No limit if you file a fraudulent return or no valid return.
  • At least 4 years for employment tax records if you have employees, "after the tax becomes due or is paid, whichever is later."

Put every paid and unpaid invoice in a folder for each tax year, along with the deposit slips and the emails or texts that carried them. If you collect sales tax, ask your state's revenue department how long it wants those records kept.

Where ServicePro fits

ServicePro is home services software. It starts with getting you found, and every business on it can write an invoice, email it, and mark it paid when cash or a check comes in. Free is $0 with no card, and Pro is $99 a month with no contract (plans and prices). With no customer email, nothing is sent. A card pay link is available to businesses ServicePro has switched on.

Sam is the AI office manager that never sleeps. He can draft an invoice when you ask, and asks before he sends one he started himself.

ServicePro does not write quotes, send overdue reminders, or figure sales tax, so add tax as its own line. An invoice has no field for terms, payment instructions, or a late fee, and only the web version sets a due date. If you need those, use accounting software. Create a free account, then open Money and choose New invoice.

Frequently Asked Questions

Is a handwritten invoice legal?

For your tax records, yes. The IRS says, "Except in a few cases, the law does not require any special kind of records." Write the six lines clearly, number the invoice, and keep your copy. A business customer may ask for a typed copy or a PDF, so ask before you hand over paper. That covers federal tax records, not every rule in every state, and it is not legal advice.

Should I charge sales tax on an invoice for cleaning, lawn care, or junk removal?

It depends on your state. Texas lists "landscaping and lawn maintenance," "janitorial and custodial services," and "garbage and other waste collection or removal" as taxable services, and your state may treat the same work differently. Ask your state revenue department whether your service is taxable and whether you must register first. If tax applies, show it on its own line. This is general information, not tax advice.

What does net 30 mean on an invoice?

Net 30 means the full amount is due within 30 days of the invoice date, according to Stripe. It is common with business customers. Housecall Pro says residential jobs typically use shorter timelines like Net 7 or Net 15. Write the actual due date next to the term so nobody has to count days.

Can ChatGPT write an invoice for me?

Yes, for the words. We asked it for a plain-text cleaning invoice on October 22, 2026, without giving it prices or a due date, and it left the amounts blank and wrote the due line as "Upon receipt of invoice." In our longer test, where we typed the prices, the totals were right, but one run printed two due dates. It told us it can send email only through a connection you set up, and that taking payment needs a payment processor or invoicing service. Check the dates and totals yourself.

How long do I need to keep invoices?

At least 3 years after you file the tax return that counts the income. If you file before the due date, count from the due date. That is the IRS's general period for assessing tax you owe (Topic 305, reviewed October 13, 2026). The IRS says it can be 6 years in some cases, such as when income left off the return is more than 25% of the gross income shown on it. Employment tax records need at least 4 years. When in doubt, keep records longer. This is general information, not tax advice.

Do I need an invoice if the customer pays cash?

Write one anyway, and mark it Paid with the date and the word cash. The IRS lists invoices, receipt books, and bank deposit slips among the documents that show the money your business takes in. If you report income when it arrives, the paid invoice shows which tax year it belongs to.

How do I send an invoice by text message?

Paste the invoice into a text: the invoice number, the date, what you did, the total, the due date, and how to pay. Send it from your own phone to the number the customer gave you, and keep the thread as your copy. If all you have is an email address, send it by email instead.

Send your first invoice from your phone.

Add the customer, the work, and the price, then send it. You see who has paid, and invoices are on the Free plan.
